RoomCaddie

Privacy policy

What stays on your PC, what the business holds, and for how long.

Version 1.6, 13 October 2026. Corrected: from RoomCaddie 1.6.2, the key and update checks also run the first time RoomCaddie starts after an update and at the end of first-time setup; the key check has always run when you press "Check for updates" too. What each request carries did not change.

Version 1.5, 12 October 2026. Added: if an installer we have approved set RoomCaddie up in your room, we copy them when you write to us, unless you ask us not to; and what we keep about installers themselves. Nothing RoomCaddie collects or sends changed.

Version 1.4, 11 October 2026. Added: from RoomCaddie 1.6.0, the Courses page reads GSPro's course folders and the dates rounds were started, and deletes only the courses you choose. Nothing RoomCaddie sends changed.

Version 1.3, 10 October 2026. Corrected: what RoomCaddie writes outside its own folder (the start-up entry) and the name of our web host. Nothing RoomCaddie collects or sends changed.

Version 1.2, 9 October 2026. Added: from RoomCaddie 1.4.0 a smart home signal can leave your PC, only if you add a connection in Settings, and only to the address you give. Nothing else changed.

The short version

RoomCaddie runs on your PC and stays there. It sends nothing about you, your PC, or your room to us. The only things that ever leave your PC are the two files you can choose to send us yourself, the smart home signal you can choose to set up, and two small requests: when you first enter your licence key, RoomCaddie checks it with our store; once a week after that, it checks the key again and asks roomcaddie.com whether a newer version exists. The signal, from version 1.4.0, goes only to the hub or web address you give, and says what the room is doing.

The business behind it holds only what a sale and a support email naturally leave behind: your name, your email, your order, and what you write to us. That is listed below, with how long we keep each.

Part one: the program on your PC

What RoomCaddie reads on your PC, and why

RoomCaddie looks at your PC once during setup, and again whenever you press "scan" in the editor, to offer you tiles for the programs you already have. It reads:

  • Steam's library list, if Steam is installed: which games are installed and their names. It does not read your Steam account, your friends, or your play history.
  • The installed-programs list Windows keeps (the same list you see under Settings > Apps): program names and where they were installed.
  • Your Start Menu shortcuts, to find programs the installed-programs list does not name.
  • The Microsoft Store apps registered for your Windows user, by name.
  • The golf simulator's folder, when it is in its usual place, to find the program itself.

All of that stays in memory during the scan. What you pick becomes a tile in your room file; what you do not pick is forgotten. Nothing about the scan is sent anywhere.

When you open Courses in the editor (from RoomCaddie 1.6.0), it also reads GSPro's courses: the courses folder GSPro's own log names, each course's name, designer, location and size, and the date each round was started, read from a copy of GSPro's round history that it makes in Windows' temporary folder and deletes at once. No scores, no shots, no account. Nothing about it is sent anywhere.

What RoomCaddie writes on your PC

Your room (tiles, folders, artwork choices, the pictures you add), your backups, your settings, your license key, your stars, notes and tags for GSPro courses, and a log of what RoomCaddie itself did (started, launched a tile, came back home, saved, and so on). All of it lives in your Windows user's application-data folder, with two exceptions: with Start with Windows on, RoomCaddie adds itself to your Windows user's start-up list (from RoomCaddie 1.5.0 it also switches itself on in Windows' Startup apps list). Off removes the start-up entry. And in Courses, RoomCaddie deletes the GSPro course folders you choose from GSPro's courses folder, and nothing else of GSPro's. The log never records what you did inside the programs RoomCaddie launched.

What leaves your PC

Four things, and three of them only when you choose:

  1. The key and update checks. When you first enter your key, RoomCaddie asks our store to accept it. After that it makes two small requests: one asks our store whether your key is still good, the other reads one small file from roomcaddie.com to learn whether a newer version exists. It makes them once a week when nothing is running, once more the first time it starts after an update and at the end of first-time setup, and whenever you press "Check for updates". The licence-key section below says exactly what each carries. Nothing downloads or installs by itself: a newer version is only ever a link you can open.
  2. The support info, if you send it. Settings > Support info copies a summary (versions, screen sizes, tile counts, recent launches, the last 200 log lines) to your clipboard or saves it to a file. Your Windows user name, every folder path, and your license key are removed before it leaves the PC. It goes only where you send it.
  3. A backup file, if you export one. It carries your room and its pictures, never your license key. It goes only where you save it.
  4. A smart home signal, if you add a connection (Settings > Smart home, from version 1.4.0). When a tile starts or ends, or the room starts, goes idle, wakes or exits, RoomCaddie sends one small message to the address you gave: Home Assistant on your network, or any web address. It carries the event, the tile's name, the note you typed, the minutes the tile ran, your room's name, the time and RoomCaddie's version. It goes only to that address, never to us. An address outside your own network needs a tick first, and the webhook id and the address are left out of the support info.

RoomCaddie contains no analytics, no crash reporting, no advertising, no account, and no way for us to see that you are running it.

The license key

Your key is stored on your PC and shown to you only by its last four characters. It is never written into a backup or the support info.

When you first enter the key, RoomCaddie sends it to our store to check it, and waits for the answer; this needs the internet once. That first request carries the key and a name for this PC (the Windows computer name, unless you typed another on the key screen - never your user name). The store answers with an activation id for this PC. Once a week after that, when nothing is running, a separate request asks whether the key is still good; it carries the key and that activation id. Pressing Deactivate this PC sends the same two to free this PC's place. Every request also carries RoomCaddie's version number, the way any program names itself to a web server. Nothing else. The store answers only whether the key is good and counts which of your PCs (up to three) it is on, by those names. If the request gets no answer - no internet, the store down - nothing changes. Only the store saying the key was refunded or disabled, or that this PC's place was given back, stops RoomCaddie. RoomCaddie also keeps a scrambled form of the Windows machine id beside the key on your PC, so a copied key file does not count on another PC; that never leaves the PC. (RoomCaddie 1.0.0 checked the key's shape on your PC and sent nothing; the check with the store arrived in 1.1.0.)

Websites RoomCaddie opens

A website tile opens the site in a browser window that RoomCaddie keeps separate from your everyday browser: its own sign-ins, its own history, on your PC. RoomCaddie never sees what you do on the site. The site's own privacy policy applies there.

Children

RoomCaddie is a tool for the owner of a room. It collects nothing from anyone, including children who use the room.

Part two: the business

When you buy

The purchase runs through our store, Lemon Squeezy, which is the merchant of record: it takes your payment and holds your card details under its own privacy policy, linked at checkout. We never see your card number. From the store we receive your name, your email address, your country, the order number, the date and the licence key it issued. We keep that order record for as long as tax and accounting law requires, which is seven years in the United States, and we use it for exactly two things: to answer you about your purchase, and to do the business's books and taxes. We do not sell it, share it, or use it to advertise to you.

When you write to support

Your email, what you write, and any support-info or backup file you attach are read by a person and kept in the support mailbox for twelve months after your ticket is closed, then deleted. We keep them that long so a follow-up or a refund question has its history; we use them for nothing else. The support info you send has already had your Windows user name, your folder paths and your key removed by RoomCaddie before it left your PC.

If an installer we have approved set RoomCaddie up in your room, we copy them on our reply, so the person who looks after your room knows. Tell us if you would rather we did not, and we will not.

If you are an installer (a dealer)

When you apply to be a dealer, we keep your business name, your contact details, our emails with you and your reply agreeing to the dealer terms, for as long as the terms run and then for as long as tax and accounting law requires, which is seven years in the United States. We use them to run the dealer arrangement and for nothing else. The keys you buy are order records like any other (above).

When you visit roomcaddie.com

The site has no analytics script, no advertising and no tracking cookies. Our web host, Cloudflare, keeps the standard server logs every website has - the address your connection came from, the page, the time, the browser type - for security and to keep the site running, under its own privacy policy (cloudflare.com/privacypolicy), which names no fixed period. Nothing on the site asks you to sign in, and nothing on it is a form except the ones you choose to fill in.

Mailing list

There is none at launch. If we ever start one it is opt-in only, every email has an unsubscribe link, and this policy is updated first.

Who else sees your data

Only the services that make the sale and the email work: the store, for the payment; our email provider, for the support mailbox; our web host, for the site. Each holds only what its job needs, under its own policy. If an installer set RoomCaddie up in your room, that installer also sees our replies to you (above). No one else. We do not use advertising networks, data brokers or analytics companies.

Your rights

Wherever you live, you can ask us what we hold about you, ask us to correct it, or ask us to delete it, by writing to [email protected] from the address you bought with. We answer within a month. The one thing we cannot delete on request is the order record while tax law requires us to keep it. If you are in the EU, the UK or another place with a data-protection law, the rights that law gives you apply in full, and you can also complain to your local data-protection authority.

Where your data is held

In the United States, with our store, our email provider and our web host. If you are outside the United States, buying from us moves your name and email here; the services we use hold them under their own safeguards.

Changes

If this policy changes, the new version is dated at the top, the change is described on the site and in the release note of the RoomCaddie version it applies to, and anything that would use your data in a new way does not happen until the new version is published.
